Vendor Check-In/Out: Vending & Camping

All check-ins must be made at the YELLOW GATE, accessible from Park Ave. GPS coordinates

We’re excited to welcome you to the Hopkinton State Fair! To ensure a smooth and efficient setup process for everyone, please carefully review the gate access schedule and related policies below. Access to the fairgrounds will be strictly limited to the hours listed, so planning ahead is essential.

Sunday – Early Arrival
Vending Trailers & Campers (No Setup Allowed)

Hours: 8:00 AM – 5:00 PM

Vendors who wish to bring in and park their trailer on Sunday may do so by advance arrangement only.

  • This option is for vending trailer placement and camper parking only.
  • No setup, unloading, or additional activity is allowed during Sunday’s early access.
  • A $200 early Vending Trailer/Camper parking fee will apply.
  • All trailers must be parked in their assigned space and off the grounds by 5:00 PM sharp.

To schedule Sunday trailer access, please contact us at vendors@hsfair.org ahead of time to make arrangements.

Monday – Thursday: Vendor Setup Access

  • Monday: 8:00 AM – 5:00 PM
  • Tuesday: 8:00 AM – 5:00 PM
  • Wednesday: 8:00 AM – 8:00 PM
  • Thursday: 8:00 AM – 12:00 PM

Check Out

  • The Fair will close at 5:00 PM on Monday. Please do not begin breaking down your booth before this time.
  • The Green Gate will remain open overnight on Monday.
  • Tuesday through Saturday, Green Gate hours will be 8:00 AM to 5:00 PM.

Important Reminders for All Vendors

  • Gate closing times are strictly enforced.
    All vendors must be completely off the grounds by the posted closing time each day — including vehicles, equipment, and personnel.

  • Plan your arrival with enough time to finish your work and exit before closing.
    For example, arriving at 4:30 PM on a day the gates close at 5:00 PM will not allow enough time to unload or set up, and you will not be permitted to stay past closing time.

  • Electrical Hookups:

    • If you require assistance with any electrical needs beyond simply plugging in your cord, an HSF-authorized electrician must be present to assist you.
    • No one is permitted to open, access, or modify any electrical panel on the fairgrounds without our licensed electrician present.
    • Electrical hookups are available for vendor camping areas, with the option of either 20-amp or 30-amp service.
    • This policy is in place to ensure the safety of all vendors, staff, and guests, and will be strictly enforced.
  • Water Hookups:

    • Water is available at most vending locations, but not all. Please check with the Vendor Coordinator at vendors@hsfair.org in advance if water access is essential for your operation.
    • Water is available in the vendor camping areas. Sewer hookups are not provided, and all campers must be fully self-contained.

  • Staking Restrictions:
    Vendors are not permitted to drive stakes into the ground without prior approval from fair management.
    There are underground electrical and water lines located throughout the fairgrounds. Unauthorized staking poses a serious safety risk and may result in damage.
    Vendors will be held financially responsible for any damage caused by unauthorized staking.

  • Rules & Regulations Reminder
    All vendors and campers are required to review and follow the Hopkinton State Fair’s Rules and Regulations, including Fire Safety Requirements. Please take a moment to read through these important guidelines prior to arriving on the grounds. Compliance helps ensure the safety and success of everyone participating in the fair.

  • Thursday Deadline:
    All setup must be completed and all vehicles must be removed from the fairgrounds by 12:00 PM on Thursday.
    This allows our team the necessary time to prepare the grounds and ensure everything is ready for the official opening of the fair at 5:00 PM.
  • Vehicle Access During Fair Hours
    On all days the fair is open to the public, all moving vehicles must be off the grounds by 7:45 AM. This policy is strictly enforced to ensure the safety of fairgoers and maintain smooth pedestrian flow throughout the grounds.
