The Hopkinton State Fair Association is seeking a detail-oriented, reliable Bookkeeper to support year-round financial operations with increased hours during fair season. This role is ideal for an experienced bookkeeper looking for consistent light hours throughout the year with a seasonal surge leading up to and during the annual fair.
Position Type
- Part-Time / Year-Round with Seasonal Increase
- Approx. 350 hours per year
- Schedule includes:
- Light hours year-round
- Increased workload during Fair Season (summer/early fall)
Compensation
- Hourly Rate: Determined by experience
Primary Responsibilities
The Bookkeeper will be responsible for accurate day-to-day bookkeeping and record maintenance, including:
- Maintain organized bookkeeping records and supporting documentation
- Accounts Payable (A/P):
- process vendor invoices
- track approvals
- issue payments/checks
- Accounts Receivable (A/R):
- record incoming payments
- track outstanding balances as needed
- Record and reconcile cash receipts, deposits, and payment processing settlements
- Perform bank and credit card reconciliations
- Maintain proper coding of expenses and income categories
- Process bi-weekly payroll, ensuring accuracy, proper documentation, and timely submissions
- Support seasonal financial activity related to:
- vendor payments
- sponsorship income
- rentals / fairground use
- ticketing or event-related transactions (as applicable)
- Produce financial summaries and reports as requested
- Coordinate with leadership and/or accountant/CPA as needed for year-end reporting
Required Skills & Qualifications
- Strong understanding of bookkeeping fundamentals and accuracy standards
- Proficiency in QuickBooks
- Comfort using Excel / Google Sheets for tracking and reporting
- Ability to work independently, meet deadlines, and maintain confidentiality
- Strong organizational habits (clean documentation, consistent reconciliation, traceable records)
- Excellent attention to detail and ability to identify discrepancies
Preferred
- Experience supporting seasonal event organizations, nonprofits, or multi-stream revenue operations
- Experience with 1099 tracking support
- Familiarity working alongside an outside accountant/CPA for year-end close
Work Environment
- Hopkinton State Fairgrounds office setting (Contoocook, NH)
- Some tasks may be completed independently/offsite depending on workflow and responsibilities
